How to turn your spreadsheet into a seating chart

It takes three steps, and all of them are free. You choose every seat. Seatwell keeps count as you go.

  1. 01

    Fill in the Guests sheet

Type one guest per row. Give people who should sit together the same party name, like “Lopez family”. Leave meal and notes blank if you don't know them yet.

  2. 02

    Paste it into Seatwell

Select your rows, header row too, and copy them. Open the free seating chart maker, choose Add guests, click the first cell and paste. Or save the sheet as a CSV file (a plain spreadsheet file) and use Choose a CSV file.

  3. 03

    Seat guests and print

Drag guests to tables on a computer, or tap Seat guests on a phone. Each table shows how many seats are filled. Then print your seating list by table or A to Z.

What's in the spreadsheet

Three sheets. Only the Guests sheet is for your list.

  • Guests: the Name, Party, Meal and Notes columns, with the top row frozen so it stays put as you scroll.
  • Example: 12 made-up guests, so you can see how couples and families share a party.
  • How to use: the three steps above, in case you print the file or send it to someone.

Want first and last names in their own columns? Name them “First name” and “Last name”. Seatwell joins them into one name when you paste. Columns it doesn't use, like email or address, are skipped when you copy the header row too, as long as one column is called Name, or First name and Last name.

Can you make the whole seating chart in Excel?

You can. Add a Table column, type a table number for each guest, and sort by it. It works for a small wedding.

The trouble starts with changes. Excel doesn't know how many seats a table has, so you count by hand, and moving one family means retyping their rows. In Seatwell you drag a guest to a new table, each table shows how many seats are filled, and meals add up per table for the caterer.

Seatwell doesn't read a Table column. Keep your list in the spreadsheet, and do the seating in the editor.

Need a table layout too? Start from one of the free seating chart templates.

What you can print

Once your guests are seated, you can print from the editor.

Free

  • A seating list by table or A to Z, on Letter or A4 paper, and a seating sign in the Classic design with a small “Made with seatwell.app” line.

With the Wedding pass

  • All 3 sign designs with no credit line, place cards, escort cards, table numbers, and a QR sign that opens your live find-your-table page. The pass also adds caterer reports and an edit link for your partner or planner.

The Wedding pass is $15 + tax where it applies, paid once for one wedding. There's no subscription. See what's free and what the Wedding pass adds.

Excel template questions

Is the wedding seating chart template free?
Yes. Download the Excel or CSV file with no sign-up and no email. Making your seating chart in Seatwell and printing your seating list are free too.
Does it work in Google Sheets?
Yes. In Google Sheets, choose File, then Import, and upload the .xlsx file. You can also open the CSV file. Copy and paste works the same way from Sheets.
Can Seatwell open my .xlsx file?
Not directly. Copy the cells from Excel and paste them into the Add guests table. Or save the sheet as a CSV file in Excel and choose it with Choose a CSV file.
Can I use my own guest list spreadsheet instead?
Yes. Copy it with its header row, and make sure one column is called Name, or First name and Last name. Seatwell matches columns named like Party, Family, Meal, Entrée, Notes or Dietary, and skips the rest. You can fix any cell before you add the guests.
Can I add a table number column?
You can, but Seatwell won't read it. You seat guests in the editor instead. Then print your seating list by table.
Is my guest list uploaded when I paste it?
No. A free plan stays in your browser and is never sent to our server. To move it to another device, download a backup file from the Plan menu.
